This Privacy Policy explains how we collect, use, disclose, and safeguard personal information when you visit our website, book a call, submit a form, interact with our ads, or communicate with us by email, phone, or SMS.

By using the site, you acknowledge this Policy. If you do not agree, do not use the site or send us personal information. Text-message terms are also in our Terms of Service.

1. Scope

This Policy applies to personal information processed in connection with our marketing website, booking flows, customer communications, and related operations. Client Agreements may include additional data-handling terms when we process data on a client's behalf (for example, lead data for a client campaign). In those cases, the Client Agreement and any data processing addendum control for that processing.

• Booking details: preferred times, meeting notes, timezone, and related calendar metadata
• Communications content: emails, call notes, SMS content, support requests, form responses
• Marketing preferences and consent records (including SMS opt-in / opt-out)
• Billing and contract details when you become a client (processed as needed to perform the agreement)

2.2 Information collected automatically

• Device and log data: IP address, browser type, device type, operating system, referring URLs, pages viewed, timestamps
• Approximate location derived from IP address
• Cookies, pixels, SDKs, and similar technologies (see Cookies section)
• Ad attribution parameters (for example utm_source, utm_medium, utm_campaign, utm_content, utm_term, gclid, fbclid, and similar click IDs)

2.3 Information from third parties

• Scheduling providers (e.g., Cal.com) when you book a meeting
• Advertising platforms (e.g., Meta, Google) for campaign measurement and delivery, subject to their policies
• Analytics and communications vendors that process data on our behalf
• Publicly available business information you share or that is reasonably related to a B2B inquiry

3. How we use information

We use personal information to:

• Operate, maintain, and improve the website and Services
• Respond to inquiries and provide customer support
• Schedule, remind, and follow up on meetings and engagements
• Send SMS/MMS and other messages you consented to or that are necessary to fulfill a request you made
• Send service and (where permitted) marketing communications; honor opt-outs
• Measure and improve advertising and attribution (including connecting ad clicks to bookings where allowed)
• Prevent fraud, abuse, and security incidents
• Comply with law, enforce Terms, and protect rights and safety
• Carry out Client Agreements and related billing/administration

4. SMS data practices

If you opt in, we use your mobile number, message history, and consent record to run the Systems Department text program: appointment booking notifications, alerts, and replies to messages you send us.

No mobile information (phone numbers, opt-in data, and consent) will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, even with your consent. All of the sharing described elsewhere in this Policy excludes text messaging originator opt-in data and consent.

Sharing mobile information with service providers, such as a customer support tool or an SMS platform, is allowed only to deliver the program or support your experience. We may also disclose information if the law requires it.

• Text STOP to unsubscribe at any time. Text HELP for help. We log opt-outs and honor them.
• Message frequency varies. Message and data rates may apply. Consent is not a condition of any purchase or service.
• We keep consent and opt-out logs for as long as carriers, audits, or disputes require.

Where GDPR/UK GDPR applies, we rely on one or more of:

• Contract performance or steps prior to entering a contract
• Legitimate interests (e.g., securing our site, B2B marketing to existing/prospect business contacts where permitted, improving services), balanced against your rights

Those categories do not include text messaging originator opt-in data and consent. That information will not be shared with any third parties.

We and our partners use cookies, pixels, local storage, and similar technologies to run the site, remember preferences, analyze traffic, and measure ads. Categories typically include:

Retention periods vary by data type and context. When no longer needed, we delete or de-identify information, subject to backup and legal hold limitations.

We implement reasonable administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is 100% secure; we cannot guarantee absolute security. Please use unique passwords for third-party tools and notify us promptly of suspected unauthorized access related to our Services.

10. International transfers

We and our vendors may process information in the country where the operator is registered and in other countries where our service providers operate, including the United States. Those countries may have different data protection laws. Where required, we use appropriate transfer mechanisms (such as standard contractual clauses) with vendors.

11. Children

The site and the text program are for adults. We do not knowingly collect personal information from anyone under 18. If you believe a child sent us information, contact us and we will delete it.

12. Your privacy rights

Depending on your location, you may have rights to access, correct, delete, or export personal information; object to or restrict certain processing; withdraw consent; and appeal a denied request. California and other U.S. state residents may also have rights to know, delete, correct, and opt out of "sale"/"sharing" for cross-context behavioral advertising, and to limit use of sensitive personal information where applicable.

To exercise rights, email hello@systemsdept.com with the subject line "Privacy Request" and enough detail for us to verify and respond. You will not be discriminated against for exercising rights. You may use an authorized agent where law allows, subject to verification.

Do Not Sell or Share / targeted advertising: You can request opt-out by emailing us, adjusting cookie preferences where offered, and using platform ad settings. We also honor browser-based opt-out signals where legally required (e.g., GPC) to the extent we can reasonably associate the signal with a consumer.

13. Third-party sites

Our site may link to third-party websites or embed third-party tools (including booking widgets). Their privacy practices are governed by their own policies. We are not responsible for third-party content or practices.

14. Changes to this Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top will change when we post revisions. Material changes may be highlighted on the site or communicated by email or SMS where appropriate. Continued use after an update means you acknowledge the revised Policy.
